Frequently Asked Questions

Q: By when do I need to get my funding request in?

A: All funding requests must be pre-approved. Student Council holds meetings monthly on the second Tuesday of each month. Therefore, please plan accordingly to meet the pre-approval requirement.

Q: I have received approval for [sample]. How do I get reimbursed?

A: There is no additional form to complete. Simply drop off all necessary documentation in an envelope appropriately labeled in the Student Council mailbox in Meiling Hall. Then email the Treasurer that you have done so. A check will be delivered to your student mailbox in approximately one week unless other individual arrangements are made. Please refer to the guidelines for specific documentation requirement. All reimbursement documentation must be submitted within 60 days of the event after which Student Council is not obligated to reimburse you.

Q: I want to go to a conference with a group. How does funding work for this?

A: Interest group funding is for the activities of the group where the entire medical student body is able to participate. Attending a conference is considered an individual activity and so students must apply individually. There are restrictions on funding based on the size of the group going to any one particular conference. Please refer to the Guidelines for more details.

Q: I am a new officer in [sample] Interest Group this year and am confused about how the student council funding works. The guidelines state that we are entitled to $300.  Is that an upfront sum given to the group, or do we need to fill out individual requests as our meetings/expenses occur?  Also, are there restrictions on how much of that money can be used on food (as is the case with the Ohio Union funding)?

A: All funding from Student Council is provided on a reimbursement basis except in rare circumstances where Student Council is organizing an event. Student groups can apply for funding at any time throughout the year. Approval is valid for the academic year as defined in the Guidelines. Groups must apply and be approved for funding; however, reimbursement will not occur unless the group’s status is listed as Active on the SOURCE webpage. Group funds are to be used to benefit the entire medical student body and not the individual leaders of the group.
